Job Description INEOS Olefins and Polymers USA has an immediate opening for a highly motivated and skilled Administrative Assistant at our Chocolate Bayou Works (CBW) facility.
The primary purpose of this position is to:
Provide administrative support to the Maintenance Superintendent and other members of the Maintenance organization.
Share, support and train as a back up for the other Administrative Assistants in the Maintenance organization.
Responsibilities for this position include:
Maintain time entries for hourly maintenance department to be input into Payroll system
Manage / Monitor time entries for hourly employees time off, vacation & overtime requests
Maintain / Manage department hourly employees vacation records and reporting exceptions
Weekly rotation of weekend pager duty
Work close with (HR) payroll ensure correct time reporting
Provide personnel reports from Traction, VTA & etc.
Maintain SAP cost center to ensure assigned hourly employees are reported correctly
Provide report to SAP Coordinator & Central Planning Team Leader
Create service entries for Safety contractor
Provide administrative duties to support Unit Turnarounds
Prepare monthly safety procedure for Olefins mechanical
Assist Maintenance Superintendent with budget reporting
Prepare and publish weekend duty requirements
Maintain pagers for weekend duty
Prepare and maintain weekend pager rotation and assignment rosters for weekend duty (including supervision and technicians)
Maintain Departmental and evacuation phone lists
Order office supplies as needed for maintenance team leaders
Enter and print requisitions in SAP
Provide back up support for other Administrative Assistants
Maintain and handle confidential information for the Maintenance Superintendent(s)
Provide general Clerical support
Education: High School diploma or equivalent required.
Experience: Preferred 3- 5 years of previous administrative assistant experience.
